Tasks
A task takes one message
Write or dictate to Zere what needs doing and by whom. She finds the employee, sets the deadline and priority, sends them the task and follows up on the reply.
Assigning
By voice, text or photo
A task doesn’t need any formatting. Say it the way you normally would: “Aidos, urgent, update the price list by Friday”. Zere transcribes the voice message, works out who it’s for and turns “by Friday” into a date.
- She finds the assignee by first name, surname or the name you usually call them. If two people match, she asks which one.
- “Urgent” and “important” mean high priority; “when you have time” means low.
- Photos, videos and documents are attached to the task and go to the assignee with it.
- You can leave out the deadline: Zere creates the task without one and suggests adding it.
The assignee’s reply
They answer in one word
The assignee doesn’t have to open or tap anything. “Got it”, “on it”, “done” — Zere understands ordinary words and updates the task status. The author is notified straight away.
If the work is stuck, it’s enough to write “stop” and the reason: the task is paused and the author learns what’s missing.
Deadlines
Deadlines don’t move silently
The assignee writes “I won’t make it, can we say Monday?”. Zere doesn’t move the deadline herself: she asks the task’s author. If the author agrees, the deadline changes; if not, it stays as it was.
The assignee’s promise is stored separately from the author’s deadline. You see both what you set and what you were promised.
- You can give a time: “by 11:00”, “by lunchtime”.
- Every deadline change stays in the task history: who asked, why, and what the author answered.
Reminders
She reminds on her own — nothing to set up
The day before
The assignee gets a reminder on the morning before the due date.
On the due date
One more on the morning of the day the task is due.
When the deadline has passed
Both people learn that the task is overdue: the assignee and the task’s author.
“Keep reminding until they reply”
If the author asks, Zere messages the assignee once an hour during working hours and stops as soon as they answer.
“How’s the task going?”
Ask at any moment: Zere tells you when the task was assigned, when it’s due, what the assignee wrote and what they have promised.
“My tasks”
Any employee can ask for a list of their tasks — the ones assigned to them and the ones they assigned.
Questions
Questions about tasks
Do we need to learn commands or special words?
No. Zere understands everyday speech: “assign Aidos…”, “done”, “can we say Monday?”, “what’s happening with the price list?”.
What if there are two people called Aidos in the company?
Zere asks which one and lists the matching employees with their job titles. The task goes out only after you answer.
Can an employee assign a task to a manager or a colleague?
Yes, if you allow it. Who can assign tasks to whom is configured for your company.
Does Zere only reply in text?
She can answer a voice message with a voice message, and text with text. You can change the mode with one phrase: “reply by voice” or “write in text”.
